AI Usage

Hexa uses artificial intelligence to provide valuable insights and recommendations for your business. It is important to understand how your data interacts with our AI systems:

AI Analytics Process:

  1. Local Processing: Most analysis is performed locally on your device.
  2. Data for AI: Only when you use advanced AI analytics features, the data required for the specific analysis is sent to our AI service.
  3. Limited Data: Only data relevant to the requested analysis is sent, not your entire database.
  4. Encryption: All transmitted data is encrypted end-to-end.
  5. No Permanent Storage: Data sent for AI analysis is not permanently stored on our servers and is immediately deleted after the analysis is complete.

When an AI request requires data to be sent to Gemini, Hexa sends only the data needed for that specific request under the handling practices described below.

Third-Party AI Provider: Google Gemini

Hexa uses Google's Gemini API to process submitted data transiently when needed to provide the AI functionality you request. Below is a detailed breakdown of how each AI feature interacts with this service:

AI Chat

When you use the AI Chat feature, your messages along with relevant financial context (such as recent transactions or summaries) are sent to Google's Gemini API only as needed to generate the reply you request. That data is processed transiently for that request, and we do not store or use the submitted data beyond fulfilling it.

AI Insights

When AI Insights are generated, aggregated financial data — including transactions, revenue, expenses, and trends — may be sent to Google's Gemini API only as needed to produce the analysis you request. That data is processed transiently for that request, and we do not store or use the submitted data beyond fulfilling it.

Receipt & Finance Data Processing

When you scan receipts or process financial documents, the extracted text (via OCR) and associated financial records may be sent to Google's Gemini API only as needed to parse, categorize, or analyze the receipt. That data is processed transiently for that request, and we do not store or use the submitted data beyond fulfilling it.

Data Handling Summary

  • All data sent to Google's Gemini API is transmitted via encrypted (HTTPS/TLS) connections.
  • Google processes submitted data transiently to provide the requested AI functionality.
  • We do not store or use the submitted data beyond the scope of fulfilling that request.
  • Only the data needed for the requested AI task is sent.
